Learn how to use the tools found on the "Insert" tab found in Microsoft PowerPoint.

Insert a Table

To insert a table, select Table under the Insert tab and highlight the number of rows and columns you would like to have. A preview of the table will appear in your slide. Once you select your desired dimensions, click on the bottom right hand corner and this will insert your table. You may also choose from Draw Table or Excel Spreadsheet.

Edit Table

Once your table is inserted, the Design tab will appear with Table Tools that allow you to edit your rows, columns, colors, shading, borders, and additonal effects. You may also use quick styles or edit the font.

Insert a Picture

To insert a picture, select Picture under the Insert tab.

Find the picture you would like to use.

First, browse to find your picture by clicking on the dropdown bar next to Look in. After selecting your picture, give it a file name or simply click Insert. Your picture may be resized after you insert it.

Click "Insert" in the toolbar, then select "Clip Art."

Find a Clip Art picture.

Enter a search keyword in the Search for box, then choose your preference in the Search in and Results should be boxes. Click Go, browse the collection, and Left Click on the picture you would like to use. Click Insert.

Add a Photo Album Picture

To add a picture from a photo album, click Photo Album under Insert and then select New Photo Album. A new window will pop up which will allow you to select the photo album you would like to use.

Add an Autoshape

After clicking on Insert, choose Shapes and then select the Autoshape you would like to use. This shape may be edited after it is inserted.

Add SmartArt

After clicking SmartArt under the Insert tab, a Choose a SmartArt Graphic screen will appear with your SmartArt options. There are many to choose from, including List, Process, Cycle, Hierarchy, Relationship, Matrix and Pyramid. Or you can view all the options by clicking on All. A preview of each effect will be shown on the right of the screen.

Insert a Chart

Click on Chart under the Insert tab.

Select Chart Template or Style

After you choose Chart, an Insert Chart window will appear. From here you may choose the chart style you would like to use. Based on your data, some graphs may not be appropriate.

Edit Chart

After you insert your chart, you may use the Design tab Chart Tools to edit the data, columns, rows, layout, and style.

Insert a Hyperlink

Select Hyperlink under the Insert tab.

Name the Address

When the Insert Hyperlink box appears, choose Existing File or Web Page and then type the URL into the Address box. (Be sure to include the http:// portion of the web address to link properly.) Click OK when you have made your selections.

Add an Action

Select Action under the Insert tab.

Various actions you may add are: Hyperlink, Run Program, Run Macro, Object action, Play sound, and Highlight click. These can be performed upon a Mouse Click or Mouse over.

Insert a Text Box

Click on Text Box under the Insert tab, then draw the text box on your slide. You may then edit your text.

Insert a Header or Footer

Click on Header & Footer under the Insert tab to insert a header or footer.

Edit Header and Footer

After you click on Header & Footer, a window will appear that will allow you to edit what is included in your header and footer. You may also choose whether to apply the header and footer to your slides or your notes and handouts.

Insert Word Art

Click on WordArt under the Insert tab, then choose which style you would like to use from the dropdown menu that appears. You may edit this style after it is selected.

Insert Date & Time

The Date & Time button, found under the Insert tab, is useful for quickly inserting the current date and/or time into a header or footer.

Insert a Slide Number

Click on Slide Number. This will bring up the edit Header and Footer window, where you may choose your preferences for slide numbering.

Insert a Symbol

To add a symbol, you must have a text box selected. Click on Symbol under the Insert tab.

Select a Symbol

The Symbol window will appear. If you prefer to use a different font than the one listed, select it from the dropdown menu by clicking on the arrow next to "normal text." Choose your symbol and then click Insert.

Insert an Object

Click on Object under the Insert tab. This option allows you to insert an object or document into your presentation.

Select Object

Select the object you would like to insert into your presentation and click OK.

After clicking on "Movie," select "Movie from File...."

Browse to find the needed movie clip.



**.MPEG movie files are the easiest to work with in PowerPoint. You can also use AVI or WMF movie files.

To insert a sound clip, click on "Sound"

Depending on where you need to locate your sound clip, click on one of the options that appear. If it is in a file, click on Sound from File and browse to find the appropriate clip.

Play the Movie/Sound File

When you insert a movie or sound file, you will need to choose whether you want the media clip to play Automatically when that slide is opened, or When Clicked.
