Data Download Deadline & Reminder
While the Aggiemail system is considered a personal service and should not be used for University data, if you do have emails or data constituting USU business in the system, those must be downloaded and retained in USU-official systems, in accordance with State and Federal regulations and with USU policies and procedures.

Any data not downloaded will be irrecoverable after May 30, 2022.

University Data

While the Aggiemail system is considered a personal service and should not be used for University data, if you do have emails or data constituting USU business in the system, those must be downloaded and retained in USU-official systems, in accordance with State and Federal regulations and with USU policies and procedures.

If you have University data in your Aggiemail account, it will need to be moved before May 30, 2022 after which it will be unrecoverable.

You may download your Aggiemail data in part or in full, including email, documents, calendar, contacts, and photos.

The easiest option is often to download Aggiemail data to a computer hard drive or a USB attached device. You will need to verify that you have enough storage on your hard drive or device, and these drives must be encrypted if storing sensitive University data.  You can then evaluate and upload university data to one or more USU cloud storage options as appropriate.

System, Hard Drive, Server, or NAS Backups

If you have System, Hard Drive, Server, or NAS Backups in your Aggiemail account that need to be saved, work with your desktop support staff to evaluate the best options.  Contractual restrictions prevent storing these backup types in Box or OneDrive.

Box

Box is appropriate as primary storage for individual or Department/Unit files, it is especially suitable for sharing or collaborating with others.

  • There is a 3TB storage quota for individual accounts and 60TB for departmental accounts. Quotas may be increased, for a monthly fee, by sending a request to servicedesk@usu.edu, see Box: Quotas & Data Management.
  • Box contractually restricts storing System, Hard Drive, Server, or NAS Backups.
  • Do not move or store personal data in USU’s Box service. 

OneDrive

OneDrive is appropriate for individual files that you need a primary storage location for, may or may not access often, and don’t require external sharing.

  • To get started review the Knowledge Base article
  • There is a 5TB storage quota for individual USU OneDrive accounts.  Microsoft does not allow departmental or unit accounts.
  • Microsoft contractually restricts storing System, Hard Drive, Server, or NAS Backups on OneDrive.
  • Microsoft contractually restricts creating departmental or unit shared folders. OneDrive is meant for “individual” files only.
  • Do not move or store personal data in USU’s OneDrive service.
  • Move your data to USU OneDrive.

Research Data

If you have large research data sets that need to be moved from Aggiemail or other data needs, contact your IT desktop support staff, to review your needs and the best solutions.

There are many third-party cloud services available for personal data storage. USU does not provide support for personal cloud services, these links are provided for your convenience:

Amazon Photos (Free with Amazon Prime)

Option for Photo storage which would require downloading photos first, then uploading to Amazon photos. 

Other Things to Consider

If you use Aggiemail for syncing settings in your Chrome browser save the settings from Aggiemail to a different Google account
