2.10 Appropriate Use of Resources

In compliance with USU Policy 5200: Information Security and Appropriate Use, University Websites must only contain current web content that supports University functions or programs. Website Managers will not store personal web pages or non-web files, such as backups, in any space designated for University Websites.

When storing web content, Website Managers must adhere to the University's data retention policies, including USU Policy 5200: Information Security and Appropriate Use. Personal data collected through University Websites should be retained only for as long as necessary to fulfill the purpose for which it was collected. Regular audits of stored data should be conducted to ensure compliance with retention policies and to securely dispose of data that is no longer needed.

Why

University websites are meant to house content that supports University functions and programs. There are other systems available at USU for secure, longer-term archiving or file storage and management.

How

Regular audits of site content should be made to remove content that is no longer needed in support of University functions and programs. This content could include:

  • Old files
  • Unneeded images
  • Past event information
  • Old news articles (not recommended to store news more than 2 years old on USU websites)
  • Forms
Any older content that needs to be stored for departmental or internal historic reference can be downloaded and stored in Box, Digital Commons (Library archive), or another approved storage service available at USU.
